4 Ways to Make Meetings Actually Worthwhile 4 Ways to Make Meetings Actually Worthwhile Sure, there are some widely known recommendations for improving meetings e.g., set an agenda, start on time, invite the right people, hold standing meetings (where participants are mora likely to hustle through their material). However, these are simply bandaids. While experts in time management and leadership skills spin their wheels offering advice to cure the common meeting, Id like to propose that we look at the root cause communication.I believe communication skills and practices are key to organizational effectiveness, and most definitely to the (in)effectiveness of meetings. What are meetings if not a venue for people with common interests and issues to come out of their metaphorical cubbies and gather to communicate? Meetings are the purest and most ubiquitous venue for communicating face to face about business matters.That said, what can be done to improve meeting communications? I rec ommend four strategies to help break the cycle of monotony, mediocrity and misery in meetings1. Articulate Your Desired OutcomeThis is different from setting an agenda, which you should do also. This is also more definitive than stating a purpose. Articulating your desired outcome is the context- and expectation-setting that most meetings lack. It is stating in the first 10-30 seconds (or less, ideally) exactly what you want to happen by the end of the meeting. For example, By the end of this meeting, I would like to get everyone up to speed, come to a consensus or decision, get approval, confirm next-step assignments, etc.Articulating your desired outcome is not a restatement of the topic of the meeting, its a directive or call to action. I call it a focal point. Its something you state at the very beginning of the meeting, reinforce in the wrap-up, and utilize throughout to dial back the inevitable digressions and diversions.2. Include Only Necessary DetailFrom where I sit, the cancer that eats away at an otherwise healthy meeting is too much information, too much detail. There are lots of reasons for this, not the least of which is the presence of participants who feel the need to prove their competence or worth by sharing everything they know. However, too much detail isinefficient and, frankly, not at all helpful unless the info is packaged inside of a point.Simply put, a point would be a summary statement that captures the importance, significance, or value of the info. Detail on its own is not memorable or meaningful. It requires packaging inside of a point in reservierung for other people to understandand retain it.Communicating effectively is all about prioritizing, and this is especially essential in a meeting when participants are contributing the scarce resources of their time and attention. Consider that prioritization implies a hierarchy. If youpicture a pyramid, then what were talking about is putting your point at the top of the pyramid with the detail underneath, appearing in descending order of importance. That way, you know to deliver the most important pieces first and maybe only.3. Be Prepared or Call It OffLets face it People come unprepared to meetings, which is not helpful. A room full of people who plan to wing it for an hour or more? Thats not very nice,nor is it very effective.Communication isnt like breathing, i.e., it just happens. It requires preparation in order to be useful. Preparation shows respect for your work, your organization, and your colleagues. If youre the meeting leader, you want to have an agenda prepared, and you want to know your focal point. What is your directive or call to action? If youre a meeting participant, prepare your point/detail hierarchy ahead if you know youre on the agenda. If youre not sure youll be speaking, you should still be prepared with succinct questions you might want to ask or with a brief statement on your area of responsibility.If you find that you or other pa rticipants are not prepared, reschedule the meeting. If you find that people are meandering or processing out loud in the meeting because they didnt prepare ahead, then cut the meeting short. This is not punishment its an acknowledgment of reality and perhaps a little bit of behavior modification.4. tischset Organizational StandardsNot just for internal meetings, but for external meetings as well. Ive had several clients come to me for communication skills training because they want their teams to be sharp in new business presentations. They jump right on board as soon as I raise the question, Well, what about regular meetings? Dont you want your people to give clients a good experience in regular meetings, too?A starter set of standards would begin with principles like always being prepared, containing detail, and articulating a desired outcome. Those alone would raise the level of meeting effectiveness simply by not letting people ramble.Communication is the currency of success. I ts how we get things done. Its how we achieve goals. Meetings are meant to provide a venue for collaboration and communication so that things get done and goals are achieved. Years ago, I started ordering custom items for family and friends, and, by the end of 2016, had a few extra lying aro und- so I figured Id try selling them. I listed a mug on Etsy for $15, and was surprised to see it sell quickly. I didnt net much, but something told me Id stumbled upon a worthwhile side hustle.The key Ive learned over the last two years is that Im working on something I think is fun. When youre motivated by mora than the bottom line, youll be more likely to go the extra mile without burning out.2. Outsource Tasks You Cant Do (or Hate)Soon after opening my Etsy store, I started researching cost-effective ways to produce other punny items I couldnt easily make by hand. Thats how I discovered print-on-demand companies that ship on your behalf. Its an order-as-you-go vorkaufsrecht that takes a cut of each sale, but using them means my apartment doesnt have to double as an inventory warehouse.From there, I found graphic designers (through marketplaces like Fiverr and Upwork) who could help bring my ideas to life for $10 to $30 per design. With partners in place, I hit the ground runnin g, creating everything from funny doormats to wine labels.Whether its administrative work, accounting duties, or something else, Ive learned that its worth investing in help when it makes sense. This way, youre free to focus on other areas you like or are better at- and supercharge your business.3. Understand Your Costs (Really, Really Well)Perhaps my most valuable side gig advice was born out of a big mistake I ended up losing hundreds of dollars my first quarter in business because I forgot to take taxes and Etsys seller fees into account- something I wouldnt have missed had I done a simple break-even analysis from the outset.I also wish Id had a better handle on my pricing. Look for Ways to Optimize or Improve Your ProcessIts been a slow, but mostly steady ride. (One exception Holidays are always a boon. It would be easy to spend December 21-March 20 cold and complaining. But instead, here are seven things I do to stay positive even though itâs winter.1. I embrace the seasonI engage in a bit of retail therapy and buy season sensitive stuff: moisturizing socks, fuzzy mittens, a bright pink sweater, hot toddies. Since it gets dark by early evening, I feel no guilt putting my pjs on as soon as I get home from work. Before or right after Christmas, my family and I drive or walk through light displays. One January, we went tubing. There are plenty of resorts that make snow for you to tube, sled, and/or ski in. I take advantage of the events unique to winter.2. I accentuate the positiveAt work, I avoid coworkers who are Debby Downers. Itâs hard enough mustering positive energy during dreary winter days. Coworkers determine the quality and direction of projects, so I hang out with positive people. At home, I keep a gratitude journal and write in it every day, even if itâs just âIâm grateful for a roof over my head and that the furnace works.â3. I exerciseAs Elle Woods says, âExercise gives you endorphins. Endorphins make you happy. Happy people just donât shoot their husbands; they just donât.â So to protect the safety of the people I live with, I exercise. If I have the opportunity to get outside and do it, all the better, so I can soak up some of that limited winter sun. But when itâs 15 degrees outside, my treadmill works just fine. I also lift weights to keep my triceps from waving when the cold winter wind blows. Exercise keeps my weight in check, reduces my stress and increases my energy.4. I move forward.I like to take the next step in the projects Iâm working on. I choose to set S.M.A.R.T goals instead of New Yearâs resolutions for work, family, and myself. I update my Linkedin profile and my resume. I think about spring projects. What flowers s hould I plant? What room decor should I update? Where should I go on vacation this year?5. I declutter and organizeBeing stuck inside is a good time to simplify. I like to clean out my closets and take stuff that I havenât worn in a year to our local Goodwill drop-off center. I have a file cabinet where I keep bills and receipts. If they are two years old, they go in the shredder. Tax documents that are eight years old go, too. This is also a good time to go through photos on my computer and phone and delete those I donât want to keep.6. I practice self careWhether itâs trying a new recipe, hobby, or online class, winter is a good time to break out of my routine and find new ways to take care of myself. With the extended periods of cold and darkness keeping me inside, I warm up with bubble baths, do-it-myself mani-pedis, Netflix binges, etc. Curling up with a blanket, my dog, a cup of coffee, a book, and Def Leppard streaming is a cure for almost any stressor.7. I try to be around peopleHaving lunch with a friend, spending a Saturday afternoon with the parents, shopping with my husband, grabbing coffee with my daughter, volunteering with my networking group⦠all these things help me stay connected to my community. Sometimes a hiring manager asks a question that completely stumps you. Other times, an interviewer crosses the line , whether they mean to or not. Not only are some questions inappropriate for a job interview - some are actually illegal. Here are five illegal interview questions you should never have to answer - and some tips on how to respond if an interviewer asks them anyway. Job interviewers are welcome to dig into your work experience and education, but they shouldnât ask about your age. âIt is a seemingly innocent question, but employers are prohibited from asking it,â said human resources experts Pinar Ozcelik and Cameron Atkinson from SuperCareer.com . Plus, the Age Discrimination in Employment Act of 1967 protects workers over the age of 40. âNobody can be rejected from a role for simply being too old,â said HR consultant Steve Pritchard of cuuver.com . âIf the skills are there, they deserve the same opportunity as people younger than them, and must be judged on the same merits, regardless of age.â Chances are, an employer wonât ask you this question point blank. But they could go about it in a subtle way, like asking when you graduated from high school or college. If you sense an interviewer is trying to root out your age, steer the conversation back toward your relevant skills and experiences. âYou can refuse to answer the question,â said Ozcelik and Atkinson. âOr make a joke out of it by saying: âMy age is a secret, but I am old enough to work for you.â Remember that you have no obligation to provide any information that could reflect your age.â 2. Do you have kids, or are you planning to? Over 75 percent of senior-level women in tech are asked about kids, family, or marriage, according to the Elephant in the Valley survey . Inappropriate questions about family life and plans especially affect women. Employers could turn down an applicant they expect to take maternity leave in the future. Employers might also assume someone with a family needs extra time off or canât keep regular hours. If work schedule is a concern, an interviewer can ask about your time commitment or ability to travel. But personal questions about kids or family are off the table. Valerie Streif, a senior advisor at The Mentat , said hiring managers might seek this information in subtle ways. ââDo you ever get overwhelmed?â is a sneaky question,â said Streif. âIt could be a way for them to figure out if you are good with time management, or it could be more malicious to obtain personal information about what you have going on outside the office.â So, how can you respond if you get illegal interview questions like these and still want the job? Jennine Leale, CEO of HR Pro Consulting Services , suggested telling the interviewer it isnât a concern and wonât interfere with your ability to do the job. âEven if you know fully well you may get pregnant, are pregnant, have children ⦠itâs none of their business,â said Leale. âYou are protected by law.â Inquiring about your relationship status is another job interview no-no. Interviewers may ask about your personal life as a way to get to know you. But they could also be making assumptions about your level of commitment to the job. Worst case scenario, someone could use this intel to discriminate against your sexual orientation. Itâs a red flag if the interviewer asks what your significant other thinks of you taking on a job, said Streif. âThis is illegal and shows they are trying to fish to see if you have a family or are married, but it can appear subtle, so sometimes interviewers get away with it,â she said. If you sense an interviewer is veering into overly personal territory, steer the conversation back to the job at hand. 4. What country are you or your parents from? Questions about national origin, race, or ethnicity are another problem applicants face. Although an employer can ask if youâre a U.S. citizen, they shouldnât pry into where exactly you or your ancestors are from. âQuestions about your country of origin are off limits during job interviews,â said Ozcelik and Atkinson. âYour best answer for any of these questions if you do not feel comfortable answering them is: âYes, I am legally authorized to work in the United States.â This answer is respectful while still firmly asserting your legal rights.â If youâre worried about these types of illegal interview questions, another potential response is to talk about where youâre currently living. Or, you could honestly tell the interviewer youâre not comfortable with the question . A competent interviewer will realize they crossed the line and reverse course. 5. What was your salary in your last job? Many employers ask about past salaries, but in some cities and states that question is against the law. Philadelphia, New York City, and Massachusetts, for instance, all bar hiring managers from asking about past salaries. These laws are a way to address the gender pay gap. The Institute for Womenâs Policy Research found that women earn 20 percent less than men for the same job. If employers base their salary decisions on past salaries, theyâll just keep up this divide. Before heading into an interview, prepare to talk about salary expectations. Even if it isnât against the law for them to ask in your state, you donât have to tell them (and most times itâs in your best interest not to tell them). Instead, talk about the value youâll bring to the position theyâre interviewing you for, and what thatâs worth. Discuss your expected salary, not your current or past. Know your rights during a job interview Although you might have to answer a lot of questions during an interview, there are some that should never come up. Generally speaking, you shouldnât have to speak on any of the following topics: Some hiring managers might not realize theyâre asking illegal interview questions. Gauging for âculture fit,â for instance, can cause some interviewers to pry too much into someoneâs personal life. Whether the interviewer intends to discriminate or not, these are illegal questions to ask in an interview according to federal and state law. âUnder Title VII of the Federal Civil Rights Act, it is unlawful for an employer to discriminate against any individual ⦠because of such individualâs race, color, religion, sex or national origin,â said Robert Odell , an employment lawyer in Los Angeles. How to handle inappropriate or illegal interview questions Unfortunately, you might find yourself in an uncomfortable situation during a job interview. Some interviewers might disregard these anti-discrimination rules. Others might simply be unaware of illegal questions to ask in an interview. Some could just be making small talk without realizing the error of their ways. If you still really want the job, you could simply say the question doesnât affect your commitment to the position. Or, you could say you donât feel comfortable sharing that part of your identity, but youâre happy to talk about other relevant experiences . If an interviewer goes overboard, you could choose to take legal recourse. To proceed, contact a lawyer or your local Equal Employment Opportunity Commission (EEOC) office. Hunching over a screen all day contorts our back muscles into knots. The more we do it, the closer we are to death. An analysis of 47 studies on sedentary behavior found that prolonged sitting not only eclipses the benefits of exercise, it also increases our risk of dying from heart disease.In the face of this dire warning, workers are told to get up from their seats and stand more. An industry of standing desks was even created to alleviate the pressures of sitting down all day. But now, new research is finding that standing around at work is not great for our bodies either.New study: Standing desks increase body painA study published in the journal Ergonomics found that standing at a desk for just two hours will create âdiscomfort and deteriorating mental reactiveness.âOn one hand, this body stress also created the right working environment for employees to make bigger leaps in their decisions. âCreative p roblem solving improved,â researchers found. But overall, the prolonged standing increased back pain and slowed down our cognitive functions. âOver time, discomfort increased in all body areas,â health researchers at Curtin University wrote in the study. âSustained attention reaction time deteriorated.âThe study is a bold rebuke of the scientific benefits of standing desks and hints that their popularity may be driven more by marketing than by science.Not enough scientific evidence on standing desk benefitsBut before you chuck out your standing desk, we must take the study in perspective to weigh its conclusions accordingly. While the study sample was only 20 adults, its conclusions do align with other research, that is challenging the benefits of standing desks as the best health intervention for sitting down at work. A review of 20 studies on sitting interventions could not conclusively prove that standing had enough health benefits to undo sittingâs damage.Looking ove r the limited evidence on standing studies, Nipun Shrestha from the Health Research and Social Development Forum acknowledged, âWe need further research to assess the effectiveness of different types of interventions for reducing sitting time in workplaces in both the short and long term. The evidence base would be improved with larger studies, longer follow-up and research from low-income countries.âYou canât win if you sit, you canât win if you stand. Until more comprehensive studies are done, the jury is still out on how long is too long when standing on your feet. The solution for office workers is to do both actions mindfully and in moderation. We already know we need to remember to get up and take breaks from your work. But now we also know that we need to remember to sit down and rest too.
